Jan-Louis Reynders acts as the Information Officer and is responsible for ensuring all personal information is processed lawfully and in accordance with POPIA.

We apply the principle of minimality (POPIA Section 10) — only collecting what is strictly necessary to respond to your enquiry or provide our services.

Information you provide directly

When you submit the contact form on this website, we collect:

• Email address — to respond to your enquiry
• Project subject — to understand the nature of your request
• Message content — the details of your enquiry

Information collected automatically

Our hosting provider (Cloudflare) may automatically collect technical data including your IP address, browser type, and visit timestamps for security and performance purposes. This is governed by Cloudflare's Privacy Policy.

We process your personal information only for the following specific, legitimate purposes (POPIA Section 13):

• To respond to your project enquiry or question
• To assess whether we can assist with your requirements
• To send an automated acknowledgement that your enquiry was received
• To follow up on potential or existing client engagements

We will not use your personal information for any other purpose — including direct marketing — without obtaining your separate, explicit consent first.

We process your personal information on the following lawful grounds (POPIA Section 11):

• Consent — by submitting the contact form, you consent to us processing your information to respond to your enquiry.
• Legitimate interest — we have a legitimate interest in communicating with prospective and existing clients to provide our services.
• Contractual necessity — where we have an existing service agreement with you, processing is necessary to perform our obligations under that agreement.

Where data is transferred outside South Africa, we rely on the operator's binding data processing agreements and applicable data transfer mechanisms (Standard Contractual Clauses or equivalent).

We do not sell, rent, or trade your personal information to any third party for their own purposes.

Cloudflare may set strictly necessary technical cookies for security purposes (e.g. bot detection). These do not identify you personally and do not require consent as they are essential to the functioning of the website.

We retain your personal information only for as long as necessary (POPIA Section 14):

• Contact enquiries — up to 3 years from the date of last contact, or for the duration of any resulting business relationship.
• Client project records — 5 years after project completion, as required for accounting and legal compliance.
• Email communications — for the duration of the business relationship plus 3 years.

After the applicable retention period, your personal information is securely deleted or anonymised.

We take reasonable technical and organisational measures to protect your personal information (POPIA Section 19), including:

• HTTPS encryption on all data transmitted to and from this website (TLS 1.2 / 1.3)
• API keys and secrets stored in Cloudflare's encrypted environment — never in source code
• Access to personal information restricted to Jan-Louis Reynders only
• Third-party operators selected based on their security standards and contractual commitments

In the event of a data breach that poses a risk to your rights, we will notify the Information Regulator and affected data subjects as required by POPIA Section 22.
